Job description

Glasgow North West Citizens Advice seeks a talented and personable Assistant Receptionist to help manage frontline advice services to local communities living and working in North West Glasgow. The successful candidate will work alongside an existing Receptionist/Admin. GNWCAB is currently experiencing an exciting transition after launching a new service delivery model in our new, modern and more spacious premises that offers a better experience for all our service users coming to us for support on a range of issues. Ideally the candidate will be a team-player that can use their own initiative to prioritise a busy workload while providing front-of-house service to the general public.

In the Assistant Receptionist role the right candidate will demonstrate strong communication skills, knowing when to be assertive while giving high quality customer service to service users. This role requires a forward thinking attitude and a helpful manner to ensure each service user’s journey in GNWCAB is a positive one. Our service currently operates complementary appointment and drop-in systems, which our local communities in North West Glasgow utilise and which is always in high demand.

Duties include but are not restricted to the following:

Serve the general public, as well as our volunteers and visitors, by greeting, welcoming, directing and announcing them appropriately.

Logging details of all service-user footfall onto our case management system.

Maintain security by following procedures and controlling access (monitor a logbook system for all visitors and volunteers).

Answer, screen and field any incoming calls appropriately.

Manage voicemail system and respond to queries.

Manage general Bureau email inboxes and action accordingly.

Perform other clerical receptionist duties such as filing, photocopying, scanning, and faxing etc.

Maintain inventory of office stationery;

Issuing expenses payments of petty cash to volunteers;

Any other duties deemed appropriate to the role as and when required.

Person specification

Person should be friendly and approachable, have good knowledge and understanding of all Microsoft packages. A person that can work under pressure and can deal with a busy reception area. An understanding of confidentiality. The ability to prioritise workloads. Some experience of working in an office or on a reception desk would be beneficial.
