Job description

This vacancy is open to unemployed 16 to 29 year olds, also including ethnic minorities, carers, care experienced, unemployed work programme completers, person with lower than SCQF level 5 qualifications and refugees with immigration status allowing them to undertake employment.

Role

This post requires an individual with intrapersonal skills, good telephone manner and the ability to welcome visitors into the office. The administrator officer will have with a positive attitude to working as part of a team and in a multicultural environment. It is essential that the post holder is able to attend training, meetings and conferences/ seminars relevant to the position, through the duration of the employment.

Duties and Responsibilities

• Responsible for answering telephone calls, e-mails and social media inquiries.

• Able to collect, distribute the mail and file paperwork.

• Good telephone manner and ability to welcome visitors into the office.

• Support other staff in research, collection of feedback and maintaining project database.

• Assist in the organisation and delivery of meetings, workshops and events.

• Keep track records of receipts, spending budgets and project reports.

• Be willing to work flexible hours including occasional weekends.

• Any other duties designated by the Line Manager.

Skills required

• Good telephone manner and ability to welcome visitors into the office.

• Ability to take customer’s orders over the phone or in person.

• Excellent organisational and communication skills.

• Order stock or stationery for the office when supplies are running low.

• Action tasks assigned by management and meet deadlines with little supervision.

• Ability to gather and manage clients’ information in accordance to strict confidentiality in accordance to GDPR and the Data Protection Act.

• Knowledge of administration practice and basic book keeping.

• Efficient in using social media platforms network blog, Facebook, twitter.
