Job description

1. Event planning, design and production while managing all project delivery elements within time limits

2. Liaise with the team to identify their needs and to ensure satisfaction

3. Conduct market research, gather information and support the preparation and drafting of funding bids

4. Provide feedback and periodic reports to stakeholders

5. Propose ideas to improve provided services and event quality

6. Organize facilities and manage event’s details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material etc

7. Ensure compliance with insurance, legal, health and safety obligations

8. Specify staff requirements and coordinate their activities

9. Cooperate with marketing and PR team to promote and publicize event

10. Proactively handle any arising issues and troubleshoot any emerging problems on the event day

11. Conduct pre- and post – event evaluations and report on outcomes

12. Research market, identify event opportunities and generate interest

13.

14. To maintain good communications with work colleagues and customers

15. To actively contribute to the development of the company and promote the company and its services

16. To maintain confidentiality within the work place

17. Any other duties as is reasonably requested by line manager/project manager and is commensurate with duties of the post

Qualifications and Training

• A high standard of literacy and numeracy

Knowledge and Experience

• An Understanding of conference/exhibition industry

• Operational experience within a similar environment

• Knowledge of Health and Safety legislation within the conference industry

• Experience of using IT and the ability to use a variety of software packages including Microsoft Office

• willingness to learn to write event specific risk assessments

• Budget Management

• enthusiasm of working within a customer focused environment

Skills/Abilities

Effective interpersonal skills

• Effective communication skills both written and verbal with the ability to deal with a wide range of customers at all levels

• Effective customer & Community liaison skills

• Proven ability to liaise, co-ordinate and disseminate quality information across a range of disciplines

• Effective team building skills and experience in relationship development

• The ability to manage under pressure and work to targets and tight deadlines

• To be self motivated and have the ability to work independently or as part of a team

• The ability to work on own initiative and to use initiative to problem solve and make decisions
