Job description

The post holder will provide general administrative support within the CTSI office to assist the development of Third Sector Organisations in Clackmannanshire.

Principle Responsibilities

• Answer telephone enquiries and take messages/divert calls as appropriate

• Facilities support – room booking, setting up/tidying of meeting rooms, greeting visitors

• Administration of the Saltire Awards

• Assist with our Volunteer Drop In sessions – ensuring potential volunteers complete a registration form, inputting the form on our CRM system Milo

• Correspond with volunteers as required – this may include sending identified volunteering options, or liaising with host organisations to arrange meetings for volunteers

• Assist with administrative tasks related to our communications – scheduling social media posts, updating events on our website, inputting information in to our monthly e-bulletins

• Attend and input to staff meetings

• Responsibility for unlocking and locking buildings, setting burglar alarms (occasionally)

• Other duties as required by the organisation on an ad hoc basis

Person specification

• Good literacy skills

• Some experience of delivering customer care and service would be advantageous

• Enthusiasm and commitment to learn about and get involved in CTSI’s activities.

• Confident in dealing with telephone enquiries and a good phone manner

• Computer skills with competency in Microsoft Office and database packages

• Good attention to detail and ability to follow organisation procedures

• The ability to deal tactfully, calmly and effectively with a wide range of people from within and outside the organisation

• Ability to work as part of a team and independently
