Job description

To assist the Office Manager in the smooth running of the office including:

Provide photocopying assistance in the office

Co-ordinate the office diary and arrange meetings

Co-ordinate office mailings and work with volunteers in organising large mailings


Ordering and stock control of office supplies

Provide administrative support and assist with organisation of events and meetings (including booking venues and catering, mailing of all notices and papers and booking of provision of transport and creche facilities.

Create leaflets, posters and other publicity material for the organisation its member groups.

Providing telephone reception for the office

Any other reasonable duties that the Executive committee or Development Coordinator may determine in support of the work of the Federation.

Person specification

Essential Criteria:

Skills / Experience:

Willingness to learn about office equipment, office systems and IT packages

Experience of planning and organising tasks to meet deadlines.

Interpersonal and Communications skills:

Effective listening and communication skills in person and on telephone

Able to work as part of a team.


Willingness to learn and confidence to try out new skills

Personal commitment to the job.

Personal attributes:

Friendly, open, mature and professional manner

Flexible attitude to changing work priorities

Able to keep calm under pressure.

Desirable criteria:


Standard Grade/ National Qualification in English.

Skills / Experience

Experience of using information technology in terms of computer, software - Microsoft Word, able to use the internet and email

Ability to respond to telephone queries

Simple problem solving skills

Ability to organise office diary.

Interpersonal and communications skills:

Good writing skills.

Additional information

ETF is an umbrella organisation for tenants' groups in Edinburgh. We have a small, friendly staff team and lots of volunteers in a busy office.
