ADMINISTRATION ASSISTANT

Job Title: Administration Assistant

Responsible to: Project Lead

Salary: National Minimum Wage

Hours of work: 25 per week days to be arranged

Administration

• Use photocopier, fax and other office machines as appropriate.

• Open, record and distribute incoming post, and prepare outgoing mail for dispatch.

• Maintain stocks of leaflets and posters, and order from suppliers.

• Display leaflets and posters in the general office, waiting room and interview rooms.

• Maintain the local information system.

• Maintain diaries and work records.

• Answer the telephone and refer calls or take messages.

• Send and respond to email.

Reception

• Assist in the operation of the reception service.

• Answer the switchboard and refer telephone calls or take messages as appropriate.

• Provide appointments.

• Receive clients and other visitors.

• Answer the telephone and refer calls or take messages.

• Send and respond to email.

Other duties and responsibilities

• Help to arrange events.

• Abide by health and safety guidelines and share responsibility for own safety and that of colleagues.

• Any other relevant administrative and support duties required to ensure the smooth running of the bureau.

Person specification

Understanding of and commitment to the aims and principles of the CAB service and its equal opportunities policies.

• Ability to monitor and maintain own standards.

• Effective written and oral communication skills.

• Ability to use IT in the preparation of training materials and reports.

• Flexible approach to work.

• Ability and willingness to work as part of a team.

• Ability to research and interpret information.

• Numerate to the level required by the tasks.

Additional information

Must be willing to undertake training and job shadowing. No experience necessary, but good IT skills is an advantage. Strict adherence to confidentially is essential
