Aims & objectives

Scottish Historic Buildings Trust (SHBT) is a charitable Building Preservation Trust (BPT) based in Scotland but with a remit to operate throughout the UK. SHBT undertakes its own BPT projects as well as helping community groups, other Trusts and individuals to identify, fund and deliver lively, viable and sustainable new uses for cherished historic buildings whose survival is threatened by disuse, dereliction or demolition.

Job description

Main Duties

•Reception: admitting and welcoming visitors to the building; answering telephone calls and transferring as appropriate; dealing with general telephone, email or personal enquiries; accepting deliveries, ensuring the entrance to the building is clean, tidy and secure at all times.

•Servicing meetings and events: setting up meeting rooms as required;

providing refreshments; clearing away used dishes, rubbish and recycling; re-setting rooms.

•Administration: issuing and filing signing-in sheets, responding to meeting room enquiries, dealing with rates assessments and invoices, producing administrative reports as requested.

•Office tasks: dealing with incoming and outgoing post, photocopying, shredding,

monitoring office supplies, filing, and general administrative duties.

•Building/facilities: putting out/bringing in banners each day, ensuring bins are put out on the relevant days and external areas are free of litter, ensuring kitchen kept tidy at all times, liaising with contractors, organising handyman, taking meter readings, moving furniture within the building, monitoring car park,assisting with risk assessments and building security and maintenance.

•Customer Service: dealing with residents’ requests and requirements, conducting

viewings with prospective clients

•Deputising for the Building Manager in his/her absence.

•Assisting with SHBT events, as directed.

Essential Qualities

•Friendly, welcoming, customer-focussed with a positive attitude.

•The consistent ability to follow agreed systems and procedures.

•A can do attitude and the ability to work under pressure.

•Good organisational and time management skills.

•Able to lift and move furniture and other equipment

•Competency with Microsoft Office; Word, Excel, Outlook.

Desirable

•To be able to suggest and implement improvements to systems and procedures.

•An interest in historic buildings.
